Course Overview

6 modules · Average 3 to 4 hours to complete · Work at your own pace

01

Why Budgets Win (or Lose) Grants

Forget the spreadsheet, your budget is a story. This module unpacks exactly what programme officers see when they open your application, the ten most common budget mistakes that get applications rejected, and what funders are genuinely asking when they review your numbers. You will leave this module understanding that a well-built budget is one of your most powerful fundraising tools.

Funder mindset · Common mistakes · Value for money · Fraud Act 2006
02

Know Your Costs, The Building Blocks

This is where we get into the numbers. You will learn the difference between direct and indirect costs, how to calculate staff costs accurately using current UK employer NIC and pension contribution rates, what the National Living Wage and Real Living Wage mean for your budget, and how to handle VAT correctly, including the costly mistakes that catch charities out. An interactive staff cost calculator is built into the course so you can run your own figures in real time.

Employer NIC 2025/26 · Auto-enrolment pension · National Living Wage · VAT for charities · Interactive calculator
03

Full Cost Recovery, What It Is and Why It Matters

One of the most neglected principles in charity finance, and one of the most important. Full Cost Recovery ensures every grant covers a fair share of your organisation’s total costs, not just the visible project ones. This module explains how to calculate a defensible overhead rate, apply it consistently and make the case to funders who push back on overheads, with reference to NCVO and Charity Finance Group frameworks.

Overhead calculation · NCVO methodology · Funder pushback · Trustee duties
04

The Legal & Financial Compliance Framework

UK charities operate in a complex legal landscape and not knowing the rules is no defence if you break them. This module covers the key legislation you need to understand as a fundraiser: the Charities Act 2011, the Charities SORP, IR35 and off-payroll working rules, the Data Protection Act 2018 as it applies to financial data, and your obligations around record keeping. Practical, clear and focused on what fundraisers actually need to know.

Charities Act 2011 · Charities SORP · IR35 & contractors · Restricted funds · Data Protection
05

Writing a Compelling Budget Narrative

Every number needs a voice. This module shows you exactly how to write the budget narrative, the written justification that brings your spreadsheet to life for the funder. You will get worked examples of strong narrative entries for staff costs, venue hire, overheads and more. You will also learn how to value match funding and in-kind contributions correctly, and how to make a convincing value-for-money argument that stands up to scrutiny.

Worked examples · Cost justification · Match funding · In-kind valuation · Value for money
06

Post-Award Financial Management & Reporting

Getting the grant is just the beginning. This module covers your legal and contractual obligations once the money arrives: what accepting a grant agreement means in practice, how to manage underspends, overspends and budget virements, what audit and independent examination thresholds apply to your organisation, and the record-keeping requirements under UK law. Mess up grant management and you risk clawback, reputational damage and closed doors. This module makes sure that does not happen to you.

Grant conditions · Budget virements · Audit thresholds · Record keeping · Clawback risks
